This is quite a long form and obviously some of the times will be approximate, but please complete as fully as possible so we can plan our day. If any details are not relevant, just leave blank.

It will take time for everyone to exit the church or ceremony hall. 15-20 minutes is typical but it can be longer. This is the point where everyone will want to give you a hug and congratulate you so we'd never want to rush this part of the day. Give yourself plenty of buffer time based on the number of people you're inviting.

PART 5: DRINKS RECEPTION, MEAL & EVENING

IMPORTANT!
The reception begins when you exit the ceremony (if in one location) or when you arrive at the venue (for separate ceremony/reception venues). This is the busiest part of the day for photography and there needs to be enough time for us to get everything done.

Our requirements for drinks reception length:

Summer: 90mins bare minimum
Spring/Autumn: 90mins-2hrs (depends on other timings)
Winter: 2 hours+

Call-in time for guests (end of drinks reception):

This is the time the venue staff will ask the guests to come inside and take their seats for the meal. For us, this is the most important timing of the entire day, so please clarify this with the venue as there are often misunderstandings.

Call-in time for couple:

This is when you two will be required by the venue - once the guests are seated and you make your entrance for the meal.

Serving time:

This is when the food is due to be served

We will need to eat at about the same time you do so that we don't miss the speeches or anything else important. Please provide details of meal arrangements. Because of our gear and bags, we'll eat in a quiet spot nearby and out of the way.

Dietary restrictions: Please, no lamb or pork belly. If these are the only options we're happy to have the veggie choice. Robin cannot eat fish or seafood. Sarah cannot eat dark chocolate.

TIP:
Speeches are typically done before or after the meal. If you're thinking about having speeches in-between courses you *must* talk to us first as it requires a lot more planning and will require special consideration for our meal.

PART 6: GROUP PHOTOS

*IMPORTANT - PLEASE READ*

Groups will be done during the drinks reception - after the ceremony and before the meal. On average, each group takes 3-5 minutes to arrange and photograph (some will be shorter, some longer).

Numbers: Keep your list personal, relevant and succinct with a maximum of TEN or fewer groups. If you need more please let us know as early as possible as a tweak to your schedule may be required.

Nominate at least 2 loud and bossy group gatherers:. Preferably one from each side of the family. They should know everyone involved and not be afraid to speak up and make an announcement if necessary. Pro-active people only.

Larger groups take longer: A group of 20 people for example will take twice as long to arrange as a group of 10 and may need extra space considerations.

Think about wet-weather: Small groups (up to 8 people) are usually OK inside, but larger groups probably won't be.

Inform the relevant guests that they will be needed for group photos. If people wander off it will cause delays or mean they are left out.

AVOID generic, arbitrary groups such as “all the men” and “all the ladies”.

AVOID lots of combinations and subdivisions of the same people

Nominated 'Group Gatherers':

These are the people responsible for rounding up guests. Don't surprise them on the day - talk to them about their responsibilities beforehand. It's an important task and one that can waste a lot of time if not done efficiently.

Mobility considerations:

If anyone included in group photos has limited mobility, let us know and we can do our best to make things easier for them at that time. Ushers or carers will be responsible for helping them so do discuss this with them in advance.
